Privacy policy.

How we collect, store, use, and protect your personal and health information — in line with the Privacy Act 1988 (Cth), the Australian Privacy Principles, and the Health Records Act 2001 (Vic).

1. Who we are

The Healthy Brain Clinic ("we", "us", "our") is the trading name of the practice operated by Dr Ash Connell (Chiropractor, AHPRA CHI0001772308). Our clinics are located at Camperdown and Geelong, Victoria, with telehealth services delivered Australia-wide.

2. What information we collect

We collect personal and health information that is reasonably necessary to provide health services. This includes:

  • Identifying information — name, date of birth, contact details, Medicare number where relevant.
  • Health history — current concerns, prior diagnoses, current medications, allergies, family history, lifestyle factors.
  • Clinical findings — qEEG recordings and analysis, autonomic measurements, validated questionnaire responses, clinical observations.
  • Referral information from your GP, psychologist, or other practitioner where applicable.
  • Payment information processed by our payment provider (we do not store full card details).

3. How we collect it

We collect information directly from you (intake forms, consultation, questionnaires), from your referring practitioner where relevant, and through the clinical instruments we use during examination (qEEG hardware, biofeedback sensors).

4. How we use it

We use your information to provide health services to you — assessment, formulation, treatment planning, progress review, and communication with referring practitioners. We use de-identified, aggregated data for internal quality improvement and, where appropriate, for service development. We do not use your personal or health information for marketing.

5. Who we share it with

We share your information only with people you have authorised, or where required by law:

  • Referring practitioners and other treating clinicians, with your consent.
  • Our practice management system (Cliniko), which is hosted in Australia and is bound by Australian privacy law.
  • Government agencies where mandated by law (eg, mandatory reporting, court orders).

We do not sell, rent, or trade your information.

6. How we store and protect it

Your records are stored in our practice management system (Cliniko, Australian-hosted, ISO 27001 certified) and on our clinical-software platforms. Access is restricted to authorised staff. All access is logged. We retain records for the period required under the Health Records Act 2001 (Vic) — generally seven years from last contact for adults, or until age 25 for records relating to children.

7. Your rights

You have the right to:

  • Access your records — submit a request in writing; we will respond within 30 days.
  • Request corrections to inaccurate information.
  • Withdraw consent for sharing with third parties (this may affect our ability to continue care).
  • Lodge a complaint with us (see below) or with the Office of the Australian Information Commissioner (oaic.gov.au).

8. Website & cookies

This website uses cookies for core functionality and basic analytics. We do not use third-party advertising cookies. Our analytics are configured to anonymise IP addresses. You can disable cookies in your browser; some features may not function as expected.

9. Children

Where we provide services to children under 18, consent is obtained from a parent or guardian. Information about children is held to the same standards as adult records.

10. Changes to this policy

We update this policy as legislation and our practices evolve. The current version, effective date, and version number are listed at the top of this page. Material changes will be communicated to active patients in writing.
